Depending on the location and who is hosting the event some items needed for the paint party may be either at the location, supplied by the host or in many cases the artist may have the supplies themselves. I know several artist that host paint parties on a regular basis and have enough brushes, paint and canvases to instruct their audience. Finding balance and value where the artist and the participants both feel fulfilled in addition to having fun is a goal when talking cost. Participants get to go home with something beautiful that they were able to create with the good guidance from a skilled artist. The artist will have earn some money sharing what they are passionate about…their art.


The cost of having an artist share their expert skills with an audience varies here in California and can range anywhere from $40 and upwards per participants. Many factors can contribute to the cost, and may include who the artist is, the location of the venue, what will be provided at the event, and various items that are included for the guests. Keep in mind that depending on the type of event you’re having this may also include other related costs. Ultimately, the cost of your paint party should reflect the value it provides to both participants and the passionate artists who share their skills and creativity.

You have various options for invitations, including digital invites, social media event pages, or traditional printed invitations. For inspiration, consider themed paint parties such as "Couples for Valentine’s Day," where participants create separate pieces of art that, when combined, form a harmonious whole. Remember, the artwork your guests create is the centerpiece of the party, and you can tailor themes to complement their creations. My friend and professional artists Aprajita Lal shared a few things to also consider about the mediums used when hosting a paint party. She said, “acrylics are often a preferred medium for these parties as the painting is done on a canvas.”

Encourage Creativity:

While it's great to have a reference painting or theme, encourage your guests to be creative and add their personal touch to their artwork. Everyone's painting will be unique, and that's the beauty of art. I have seen participants put their own spin on the artwork and created some truly amazing works of art that even the instructor couldn’t have imagined. This is one of the most magical parts of the event and I really enjoy seeing these unique treats.


SUPPLIES:

Whether you’re an artist or event planner hosting a paint party, there are some supplies you’ll need for all participants to use at your event. It may sound like a lot, but most of the supplies are quite affordable and can easily be accounted for in the cost of your paint party. Some of the supplies listed here are optional while others are necessary. For this article we are listing supplies for painting on a canvas.


  • Canvases

  • Paint (Acrylic, water, oil)

  • Brushes and depending on the technique of the artists you may include other items like sponges.

  • Easels

  • Water cups (for the brushes)

  • Palettes (for the paint)

  • Gloves (optional)

  • Paper towels or napkins

  • Aprons

CANVAS:

Your Can Size Matters- For The Time Of Your Event

When it comes to selecting your supplies for a paint party, one important factor to consider is the size of your canvas. The canvas size can significantly impact the overall experience, as larger canvases typically require more time to complete. Personally, my favorite canvas size is 8.5" x 11". These dimensions strike a balance between allowing participants to create meaningful artwork while ensuring that the painting process remains manageable and enjoyable.


A special note if you decide to host a watercolor paint party: It is my experience that most watercoloring is done on paper, in some cases a cotton paper or other specific paper made for watercolor. Your typical canvas that is used for most other paints isn’t absorbent enough for watercoloring.


You can easily source these canvases in bulk at a reasonable price from online platforms like Amazon, or you may find that many artists already have these items readily available. Another option is to keep an eye out for bulk purchases during sales at local art supply stores. This goes for the other supplies in the list.


PAINT:


Another thing to consider is the type of paint. You have options like acrylic, watercolor, or oil paint, each with its characteristics. Acrylic and watercolor paints are known for their faster drying times, often drying by the end of your event. It's worth noting that once acrylic dries, it becomes permanent, while watercolors can be reactivated by simply wetting them again, allowing for continued work.

While some artists prefer oil paint for certain pictures due to its rich and vibrant pigments, many opt for acrylic or watercolors when hosting paint parties. The primary reason for this choice is practicality: acrylics and watercolors dry quickly, reducing the risk of participants inadvertently smudging their newly created masterpieces while transporting them home. Oil paints, on the other hand, have a slow drying time, which can be advantageous for artists working on longer-term projects. However, they are not well-suited for events with a limited timeframe, as they can take up to several days to dry, depending on the type of oil used in the paint. Keeping these factors in mind will help you select the right type of paint for your paint party, ensuring a smooth and enjoyable creative experience for all participants.


BRUSHES AND OTHER TOOLS:

With a wide array of brushes available, not all will be suitable for every paint medium. It's essential to select brushes that are compatible with the specific paint you've chosen. Additionally, take into account the cost of brushes for each participant, as this can add up. If you plan to host paint parties regularly, it might be wise to invest in high-quality brushes that will yield optimal results for your participants.


Brushes come in various materials, including synthetic and real hair options like sable, commonly used for watercolors. Notably, there are synthetic brushes designed to mimic the texture and performance of real hair brushes. Since participants won't be taking the brushes with them and these brushes are an investment for you, it's crucial to handle them with care during the clean-up process, which we will discuss later in this article. This attention to detail ensures that your brushes remain in excellent condition for future paint parties, providing a consistent and enjoyable painting experience for your guests.


APRONS:

Another consideration for your paint party is the choice of aprons. You can opt for either disposable or washable aprons, each with its advantages. If you choose washable aprons, don't be overly concerned about paint residue after washing, as these stains can add character to the aprons. Many consider them a testament to the creativity that unfolded during the paint party.


Moreover, consider the opportunity to brand your aprons, which can serve as a powerful marketing tool. Branded aprons not only enhance your brand's visibility during the event but also in the photos shared online by you and your participants. We'll delve deeper into branding strategies later in this article. Ultimately, whether disposable or washable, aprons are an essential part of the paint party experience, providing your guests the opportunity of protecting their clothes while painting and also serving as a potential branding avenue for your event or business. You may even consider adding your branded apron as merchandise at your event.

SET-UP:

Consider covering tables with disposable or protective tablecloths to safeguard against paint spills, which can happen, especially during the artistic fervor of the event. If you have easels available, set them up for those who prefer to paint while standing. Additionally, provide table easels for participants who might prefer to paint while seated. This flexibility in painting positions accommodates different comfort preferences and ensures that everyone can engage in the creative process comfortably.


Remember that the setup of your paint party also contributes to the overall atmosphere and aesthetic appeal of your event space. Incorporate decorative elements that align with your chosen theme or branding, creating a visually pleasing backdrop for your participants' artistic endeavors. By paying attention to these details, you can enhance the overall experience and make your paint party a memorable and enjoyable occasion for all.


DECORATIONS:

When it comes to decorating your paint party venue, the goal is to create a welcoming and inspiring atmosphere that enhances the overall experience. Start by incorporating art-related items and decorations that align with the theme of your party. Hanging paintings on the walls can add an artistic touch, setting the stage for a creative environment. Displaying art supplies in a decorative manner adds to the aesthetics of your paint party and help set the mood.

Another innovative approach is to use colorful decorations to infuse a sense of creativity and playfulness into the space. Consider this as an opportunity to showcase and sell your merchandise, especially if you have your own art collection. You can also incorporate framed artwork into the decor, which participants can purchase to frame their own beautiful creations. This option is particularly appealing to those who may not possess advanced art skills but take pride in the work they've produced. Offering framing services as part of your event enhances the overall value for your participants.


As a bonus tip, consider selling raffle tickets for various prizes, creating an additional layer of engagement and excitement. Set up a dedicated table decorated with balloons and prizes, including theme-related items, your branded aprons, prints of your art, or even art supplies. Including the chance to win a frame or other art-related items in the raffle adds to the overall enjoyment and leaves participants with lasting memories of your paint party. By integrating these decoration and merchandising strategies, you can transform your event into an immersive and memorable experience for everyone involved.




FOOD & DRINKS:

Offer a selection of snacks, finger foods, and beverages. Consider having some easy-to-eat items that won't interfere with the painting process. You can serve finger foods, fruits, and drinks in disposable cups to minimize mess.


You may want to set aside a time for food at the beginning and or at the end of your paint party. Drinks are ok to have during the instructional part of your event. Although not necessary many people include wine or other spirited drinks, hence the term paint and pour. Of course this is reserved for your adult paint party.


MUSIC AND ATMOSPHERE:

Creating an environment that elevates creativity can be accomplished both with the visual aid of your decorations and perhaps with the addition of sound.

Is it ok to play background music? This can be a great way to enhance the atmosphere and create a relaxed and enjoyable environment. However, choose music that fits the theme and preferences of your guests. With that in mind, you don’t want to have the music louder than the instructor. The keyword here is background music. If you decide to add music to your event, you may consider using instrumental track over one that has words.


OTHER THINGS TO CONSIDER:

If you have a large group, consider providing a headset microphone for the instructor to ensure that everyone can hear and follow along effectively. Additionally, having an assistant on hand can greatly enhance the overall experience. This assistant can assist the instructor by addressing guest inquiries that are not directly related to the painting process. Participants may have various questions, ranging from the location of the restroom to the cost of framing for their artwork. Having a dedicated assistant allows the instructor to focus on guiding the audience through the art creation process without distractions, ensuring a smoother and more enjoyable paint party for everyone involved.


THE MINGLE/PHOTOS AND SHARING:

Networking Opportunities Before and After Painting Are Also Great For Photo-Ops Sharing On Social Media

Make the most of the mingling moments during your art paint party by capturing the fun and creative energy through photos of the participants and their artwork. Always remember to ask for permission from your guests before sharing their photos, respecting their privacy and preferences. Additionally, leverage the social networking aspect of the event to encourage participants to share their contact information, such as emails, for future event notifications. Strengthen the bond by offering to share the event photos with attendees afterward, providing a cherished keepsake and commemorating their artistic achievements.


Furthermore, support both the artist and host by encouraging guests to tag them on their favorite social media platforms, showcasing the enjoyable moments from the event. This not only boosts the event's visibility but also fosters a sense of community among participants and extends the reach of your paint party to a broader audience. By making these connections and sharing the joy of creativity, you'll enhance the overall experience and create lasting memories for everyone involved.

Clean Up Is Sometimes Overlooked When Scheduling Your Timed Event.

Now that your paint party is over and a huge success, it’s time to clean-up. Depending on the venue or location, ensure you have enough garbage bags and cleaning supplies on hand to tidy up after the event. Cleaning as you go can also help keep the mess under control. This is also a good time to clean your brushes for future events. Maintenance of your brushes will ensure your investment is in tip top shape. Additionally have containers for your used items, such as a laundry bag for your aprons. It is nice to have all these supplies, but remember to think about the items you’ll need to take with you that may include some of the things we discussed earlier like, your merchandise, frames, paints, brushes, extra canvases.
